Privacy Policy

MyDigitalGroup.com Inc. operates DaycareWebWatch.com and related DaycareWebWatch websites, mobile applications, live classroom video, parent-communication features, sales enquiries, and support services (collectively, the “Services”). This Privacy Policy explains how we collect, use, disclose, retain, and protect personal information.
DaycareWebWatch serves childcare organizations, their authorized personnel, and parents or legal guardians. Because the Services may involve information about children and live views of childcare environments, we treat privacy and access control as essential responsibilities.
Privacy at a glance
- DaycareWebWatch does not sell or rent personal information.
- Our live classroom video service is designed for real-time viewing. DaycareWebWatch does not intentionally record or retain classroom video in the normal operation of that service.
- DaycareWebWatch does not use classroom video to train or operate artificial-intelligence systems.
- Access is limited to authenticated Users authorized by the applicable childcare organization.
- Our core customer data and application hosting are represented as located in Canada, subject to the service-provider and transfer explanation below.

1. Scope and roles
This Policy applies to personal information handled by MyDigitalGroup.com Inc. through the Services and our business operations. It does not govern an independent childcare organization’s own practices outside the Services.
A participating childcare organization decides why and how it uses the Services for its childcare operations. It is responsible for lawful camera use, notices and consents, camera placement, information it enters, and authorization of parents, guardians, staff, and other Users. DaycareWebWatch processes information to provide the Services under its agreement with that organization and also handles certain account, security, sales, billing, and support information for its own legitimate business purposes.
Questions about why a centre uses video, which children or rooms are shown, or who is permitted access should normally be directed to the childcare organization. Questions about DaycareWebWatch’s handling of information may be directed to our Privacy Officer.
2. Personal information we collect
The information we collect depends on how you interact with us.
Childcare Client and business information
- organization name, address, locations, contacts, telephone numbers, email addresses, account administrators, and authorized staff;
- subscription, contract, billing, payment-status, installation, equipment, service, and account-management information;
- sales enquiries, demo requests, correspondence, meeting notes, and publicly available business information used for business-to-business prospect research.
Parent, guardian, staff, and other User information
- name, email address, telephone number, relationship or role, login identifier, and account status;
- the childcare centre, child, classroom, or permissions associated with the account;
- authentication, access, and security information. Passwords should be stored only in protected form and are never requested through support.
Child and childcare content
- a child’s name or identifier, classroom, attendance-related context, and other information a Childcare Client chooses to provide;
- daily reports, photos, newsletters, messages, and related content when those features are used;
- live classroom video transmitted for authorized, real-time viewing. The service does not collect audio, and DaycareWebWatch does not intentionally record or retain classroom video in normal operation.
Website, app, device, and security information
- IP address, date and time, browser, device type, operating system, app version, referring page, session and authentication events, pages or features used, error information, and security logs;
- cookies, local storage, and similar technologies needed to keep sessions secure, remember settings, prevent abuse, and understand service performance;
- approximate location inferred from an IP address where needed for security, fraud prevention, or country-specific website routing. We do not require precise device location for ordinary use unless separately disclosed.
Support information
- name, contact details, childcare centre, issue category, description, correspondence, ticket status, and optional attachments;
- limited child or parent account details where necessary to resolve an access issue. Users should never submit passwords or unnecessary information about children.
3. How we collect information
We collect information directly from Users and Childcare Clients; from authorized administrators who create or manage accounts; automatically through websites, apps, devices, and security systems; through sales and support communications; and from public business sources for business-to-business prospect research. A Childcare Client must have authority to provide information about its Users and children.
4. Why we use personal information
We use personal information only for identified and appropriate purposes, including to:
- create and administer accounts and permissions;
- transmit live video and provide daily reports, photos, newsletters, messages, and other selected features;
- authenticate Users, secure the Services, investigate suspected misuse, maintain logs, prevent fraud, and respond to incidents;
- install, configure, maintain, troubleshoot, support, and improve the reliability and usability of the Services;
- manage Childcare Client relationships, contracts, billing, equipment, enquiries, demonstrations, and customer service;
- send necessary account, service, support, safety, and security communications;
- send marketing communications where permitted by law and honour unsubscribe choices;
- create aggregate or de-identified information that is not intended to identify an individual; and
- comply with law, enforce agreements, establish or defend legal claims, and protect Users, Childcare Clients, children, our company, and others.
We will seek additional consent before using personal information for a materially new purpose where required. DaycareWebWatch does not use classroom video for advertising, facial recognition, biometric identification, or AI training.
5. Consent and choices
We obtain consent in a form appropriate to the sensitivity of the information and the circumstances, unless law permits or requires handling without consent. A Childcare Client is responsible for obtaining and documenting any consent required for its use of cameras and child information. Parents and guardians should receive clear information from their childcare organization before access is enabled.
You may withdraw consent for optional handling by contacting us or the Childcare Client, subject to legal and contractual restrictions and reasonable notice. Some information is necessary to provide and secure the Services; withdrawing consent may therefore require account closure or make a feature unavailable. Marketing messages include an unsubscribe method where required.
6. When we disclose information
We do not sell or rent personal information. We may disclose it in the following limited circumstances:
- to the applicable Childcare Client and its authorized administrators so they can manage accounts, permissions, children, classrooms, content, and support;
- to authorized Users, but only according to the permissions assigned by the Childcare Client;
- to service providers that support hosting, infrastructure, content delivery, security, communications, customer relationship management, help desk, payment processing, software maintenance, and professional services. They may use information only for the contracted service and must protect it;
- to a proposed or completed purchaser, investor, successor, or transaction adviser in connection with a financing, reorganization, sale, merger, or transfer, subject to appropriate confidentiality and lawful-use restrictions;
- when required or permitted by law, court order, regulator, or lawful process; or when reasonably necessary to investigate wrongdoing, respond to an emergency, protect rights or safety, or establish, exercise, or defend legal claims.
7. Service providers and processing locations
Our core customer data and application hosting are located in Canada. We also use specialized service providers for functions such as email, customer relationship management, support, payments, security, software distribution, and technical operations. Depending on the provider and feature, limited personal information may be accessed, routed, or processed from another province or country, where it may be subject to local law.
We select providers with privacy and security considerations in mind, limit the information made available to them, and use contractual and technical safeguards appropriate to the circumstances. Contact our Privacy Officer if you would like more information about relevant service-provider categories or processing locations.
8. Live video
Live video is transmitted from a participating childcare environment to Users authorized for the relevant stream. DaycareWebWatch does not collect audio and does not intentionally record or retain classroom video in the normal operation of the live-video service. Temporary technical buffering inherent in transmission may occur, but it is not made available as recorded footage.
Users are strictly prohibited from capturing or sharing the stream. A User may nevertheless use device or external recording tools outside our control. Childcare Clients must manage authorization carefully and notify us promptly of suspected misuse.
9. Safeguards
We use administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These include access controls, authentication, permission management, encryption in transit, protected storage, logging and monitoring, secure infrastructure, personnel and service-provider controls, incident response, and periodic review. No method of transmission or storage is completely secure, and we cannot guarantee that every incident will be prevented.
10. Retention and deletion
We retain personal information only as long as reasonably necessary for the purposes described in this Policy, to provide an active account or service, and to meet legal, security, tax, accounting, dispute, backup, and enforcement requirements. Retention periods differ by record type and contractual obligation.
Live classroom video is not intentionally recorded or retained by DaycareWebWatch in normal operation. Account and operational records are generally retained while the applicable account or Childcare Client relationship is active and for an appropriate period afterward. Support, billing, contract, consent, access, and security records may be kept longer where needed. Information is securely deleted, anonymized, or isolated from routine use when it is no longer required, subject to backup cycles and legal holds.
11. Cookies and similar technologies
We use cookies and similar technologies that are necessary for sign-in, session security, fraud prevention, preferences, load balancing, and core operation. We may use limited performance or analytics technologies if they have been approved and configured consistently with this Policy. Where law requires a choice for non-essential technologies, we will provide one. Blocking necessary cookies may prevent sign-in or other features from working.
12. Access, correction, and other privacy requests
Subject to applicable law and limited exceptions, you may request access to personal information we hold about you and ask us to correct inaccurate or incomplete information. You may also ask about our handling practices, withdraw consent where applicable, or make a complaint.
For information controlled by a Childcare Client, we may direct the request to that organization or assist it in responding. We may verify your identity and authority before disclosing or changing information. We will respond within the period required by applicable law and explain any lawful refusal.
13. Children
The Services concern childcare environments but are not intended for children to operate independently. Childcare Clients and parents or legal guardians are responsible for required authority and consent. We collect and use child information only as needed to provide the features selected by the Childcare Client and do not knowingly use it for behavioural advertising.
14. Security incidents
We maintain processes to identify, contain, investigate, document, and respond to suspected privacy and security incidents. Where a breach creates a real risk of significant harm or another reporting threshold is met, we will notify affected individuals and regulators as required by applicable law and will keep required breach records.
15. Marketing and business communications
We may use business contact information to respond to enquiries and communicate with childcare organizations about DaycareWebWatch. We send commercial electronic messages in accordance with applicable law and maintain suppression records so an unsubscribe request can be honoured. An unsubscribe does not prevent necessary service, account, security, billing, or support communications.
16. Changes to this Policy
We may update this Policy as our Services, providers, practices, or legal obligations change. We will post the revised Policy and update the “Last Updated” date. We will provide additional notice of material changes and obtain consent where required by law.
